Creating & Editing Folders

Folders assist with structuring the content stored within iD CMS, allowing for content to be organized and secured as required.

This process is conducted through the Front End of iD and will depend on the level of Security applied.

Creating a Folder

Select Manage iD CMS Content in the Breadcrumb or via the Actions options in the footer

Alternatively,

Select the Library option located to the right of the Breadcrumb bar

NOTE: Both these options gives you direct access to the iD CMS folder structure
Navigate to the folder that you wish to create a sub folder for
Once at the folder, select Add from the Editing Toolbar and then New Folder.

The New Folder popup will be initiated

Specify the title, URL and description of the folder. The name and description fields should accurately reflect the purpose of the folder.

Click on the OK button to create the folder immediately.

The following are optional and can be completed later by editing the folder.

#Channels & @Mentions:To notify users of these updates enter the following:
- #Channels: #Hashtag to categorize and organize content. This will automatically post into the #Channel feeds.

- @Mentions: Include @mentions to notify people about this item.

Metadata:Select Metadata to allow tagging of content within this folder.

Set Metadata "fields" associated with this folder and it's contents. This will assist with finding and categorizing files and pages.

These fields will be associated to the folder allowing users to enter a value against the fields.

Advanced Properties:If the Advanced Properties button is selected, this allows properties on the folder to be modified.
A Edit Folder popup will be initiated.

Select the Advanced Tab along the top of the Edit Folder popup to add the following details:

Folder View
The presentation of items in the folder can be tailored to suit specific content types for optimized viewing.

Select one of the options:
- Automatically Detect (Default)
  Detects the best option from the list below will be used based on the majority of items in the folder. If there isn't a majority of one item, then mixed content is used.
- Documents
  Defaults to list view, with the columns; Title, Last modified By, Last Modified, Type & Size.
- Images
  Defaults to tile view. List view has the columns; Title, Last Modified By, Last Modified, Type, Size & Resolution
- Videos
  Defaults to tile view. List view has the columns; Title, Last Modified By, Last Modified, Type, Size, Duration & Resolution
- iD CMS Pages
  Defaults to list view, with the columns; Title, Last Updated In, Last Modified By and Last Modified.
- Mixed Content
  Defaults to list view, with the columns; Title, Last Updated In, Last Modified By, Last Modified, Type & Size.
Security
Specify the security for the folder. This dictates who can read, modify and delete the folder and its included content. Click here for more information about security

Owner(s)
Specify the Folder Owner(s).
To add or remove owners, use the Add Owner or Remove Owner buttons

Click the OK button and you will be directed to the folder view

Editing a Folder

There are two ways to Edit a Folder as outlined below:

Edit Folder via Editing Toolbar

Navigate to the folder that you wish to edit
Once at the folder, select Actions from the Editing Toolbar.
Select Edit Folder
The Edit Folder popup is initiated allowing updates to Details including; Title, URL, Description, #Channels, @Mentions, Metadata, Advanced Settings including; Folder View, Security, Owners. Simply select the tab you wish to update and then the relevant section.

Once changes have been made select the OK button located at the bottom of the popup.

Edit Folder via Folder View

Navigate to the folder you wish to edit
Select the check box of the relevant folder
The options and actions related to the folder will display above the folder list
Select Properties to Edit the details related to the folder
The Edit Folder popup is initiated allowing updates to Details including; Title, URL, Description, #Channels, @Mentions, Metadata, Advanced Settings including; Folder View, Security, Owners. Simply select the tab you wish to update and then the relevant section.

Once changes have been made select the OK button located at the bottom of the popup.
