Managing Folders

iD CMS uses Folders as a managing point for various templates, files, and pages.The steps outlined below guides you through managing folders

This process is conducted through the Front End of iD and will depend on the level of Security applied.

Editing Toolbar Options

In order to Manage Folders and access the options related to a folder, this is done through the Editing Toolbar.

To access the Editing Toolbar, navigate to the applicable folder. From here the Editing Toolbar is located at the top of the page where the Add and Actions options can be accessed.

AddSelecting Add from the Editing Toolbar will give you the following options depending on your level of security.

New Folder
Provides the user with the ability to create a new folder within the current folder.

New Template
Provides the user with the ability to create a new template within the current folder.

New Page
Provides the user with the ability to create a new page within the current folder.

For more information see the Creating a Page Help section
Files
Provides the user with the ability to upload File(s) within the current folder.

For more information see the Adding Files Help section

ActionsSelecting Actions from the Editing Toolbar will give you the following options depending on your level of security.

Edit Folder
Provides the user with the ability to Edit the current folder.

Select Templates
Provides the user with the ability to manage templates and make them available within the current folder.

Move Folder
Provides the user with the ability to move a folder to a new location.

Delete Folder
Provides the user with the ability to delete the current folder.

Recycle Bin
Provides the user with the ability to recover deleted folders, templates, pages and files within the current folder.

Moving a Folder

The following is divided into 2 sub-sections based on where you're moving the folder:

Move folder via Editing Toolbar

Navigate to the folder that you wish to move
Once at the folder, select Actions
Select Move Folder. For more information on how to do this, refer to Toolbar Options help section
The Move Folder popup will be initiated

Move Folder popup
The Move Folder popup shows a list of available locations for moving the folder (as based on the users' security access level). Destinations are listed under subsite groups and subsites. Select a destination and click the OK button. Confirmation will be provided via a popup message.

Move Folder via Folder View

Navigate to the folder that you wish to move
Select the Check Box relevant to the folder you wish to move as shown below
Options and actions relevant to the selected folder will be displayed in the Actions menu located above the folder list, select Move
The Move Folder popup will be initiated as outlined in steps 4 - 5 in Move Folder via Editing Toolbar.

Deleting a Folder

The following section is divided into 2 sub-sections based on where you're deleting the folder:

Delete folder via Editing Toolbar

Navigate to the folder you wish to delete
Select the Title of the folder in the folder list as shown below
Once at the folder, select Actions > Delete Folder as shown below
For more information on how to do this, refer to Toolbar Options help section
The Delete Folder Confirmation will be presented
Click OK to confirm and the folder will be deleted. For information on how to restore deleted folders, refer to the Recycle Bin functionality

Delete folder via Folder View

Navigate to the folder you wish to delete
Select the Check Box relevant to the folder you wish to delete
Options and actions relevant to the selected folder will be displayed above the folder list, select Delete
The Delete Folder confirmation will be presented
Click OK to confirm and the folder will be deleted. For information on how to restore deleted folders, refer to the Recycle Bin functionality

Viewing a folder

The folder description and any #Channels or @Mentions are displayed below the folder title. There is an expandable option to view additional folder information that contains the following details:

Created By - User who created the folder and the date
Last Modified By - Use who last modified the folder and the date
URL - URL of the current folder

A folder is divided into tabs where items can be viewed by:

Pages and Files
A listing of all Pages and Files within the current folder
Scheduled items
This tab is hidden by default and is displayed only when there is a page or file set to be published in the future. It is only displayed to a user that has editing rights
Expired items
This tab is hidden by default and is displayed only when there is an expired item and to users that have editing rights
iD CMS Templates
This tab displays available templates and to users that have editing rights

List and Tile ViewA user may switch between the List or Tile View of a folder.

Switch between the two views by selecting the buttons located on the top right of a folder as shown in the below image

When switching from one view to the other, settings such as; selected check boxes, current page number and tab selection will be retained and is based on the browser session.

List View

Pages and Files or Templates are displayed in a list view within the current folder.
Columns within the folder are based on 'Display Settings' set on a folder. The columns are different across the 4 tabs.

All columns within the folder can be sorted, but by default items within the folder are sorted by Title. Simply select the Column Names to sort by column.

Tile View

Thumbnail is generated and displayed if the file is of type Image/Video. For other file types, it displays the thumbnail as an icon based on the type of the file which is generated by the system.

Here you may also set the Landing Page, delete or move items (Files and Pages) to another location.

Landing Page
A page can be set as a Landing Page by selecting the Check Box next to the relevant page.
Options relevant to the page will be displayed in the Actions menu located above the items list.
Select the Make Landing Page option and once selected the page will be set with a green tick to indicate that this page has been set.

If a user enters a direct URL to an iD CMS folder (rather than a page URL), the user will be automatically be directed to the landing page (assuming one has been nominated). If no landing page has been set, the user will be redirected to the View Folder page instead. Click here for more information on default pages
Delete Files and Pages
Pages can be deleted via the Actions menu once the desired item(s) have been selected using the checkboxes located next to each item listed. Click here for more information on deleting pages
Move Files and Pages
Pages can be moved via the Actions menu once the desired item(s) have been selected using the checkboxes located next to each item listed. Click here for more information on moving pages

Viewing expired pages

A listing of all expired content contained within the folder. The Expired Items tab is presented when there is an expired item.

Here you may view the details of the file or page including:

Title
Title of the Page / File that has expired
Last Updated In
Displays the edit mode(Live / Staging / Draft) in which the page has expired. For files, this will display as blank
Expired Date
Displays the date in which the page or file has expired
Last Modified By
Displays who last modified the Page / File, which is a link

Extend Expiry Date via List View

Navigate to the folder
Select the Expired Items tab
Select the relevant Check Box of the file or page you wish to extend the expiry date.
From here, the options and actions related to the item will be presented above the items list.
For a file select Properties in the Actions Menu.
The Edit Properties popup will be initiated, select the Details tab and from here you can reset the Expiry Date by using the Date Selector option
Select OK located on the bottom right of the pop-up.

Extend Expiry Date for a Page

Navigate to the folder containing the page
Select the Expired Items tab
Select Check Box of the relevant page
From the Actions Menu select Edit and you will be taken into Edit Mode for the page
From the Editing Toolbar select Actions > Edit Properties
The Edit Properties popup will be initiated, select the Details tab and from here you can reset the Expiry Date.
Select the OK button located on the bottom right of the pop-up.

Templates Listing

A listing of all templates contained within the folder. The iD CMS Templates tab is presented when there are templates available within the folder. Here you may set the Default Template (the template automatically selected when a page is first created), delete or copy a template to another location and to set the Active Status of the template.

Default Template
A default template can be set by selecting the check box of the relevant template, then select Make Default from the Actions menu. If a folder has a default template specified, it will be automatically selected for any page created within the folder. Click here for more information on default templates

Delete Template
Templates can be deleted via the Actions menu once the desired template(s) have been selected using the checkboxes located next to each template listed. Click here for more information on deleting templates

Copy Template
Templates can be copied via the Actions menu once the desired template(s) have been selected using the checkboxes located next to each template listed. Click here for more information on copying templates

Active Status
The active status of a template can be changed by editing the Template then selecting Properties from the Editing Toolbar. The active status determines if the template can be used for any future Pages created within the Folder.

Available Templates
To control what templates are allowed to be used for pages created within the folder, the Select Templates functionality can be used. From the Editing Toolbar select the Actions menu then Select Templates (as shown below)

The Select Template popup will be presented (as shown below). From here you can browse through the existing templates wtihin the iD CMS system (including other subsites) and add or remove templates to suit your requirements.

Recycle Bin

Provides the user with the ability to review previously deleted content contained within the current folder and restore this data if required.
From the Editing Toolbar select the Actions menu then select the Recycle Bin, a Recycle Bin popup will be presented (as shown below). From here you can review the items within the iD CMS Folder and select the Check Box relevant to the item you wish to restore. Then select the Undelete option from the Actions drop-down menu.
