Metadata assists with files and pages to become more discoverable, learn how to set up the Metadata for searching on files and pages.

This process is conducted through the Front End of iD and will depend on the level of Security applied.

Complete Fields for a Page

Add Fields to FolderMetadata controls and increases our ability to search for files and pages. Whilst certain Metadata is set by the system, you can create fields to capture any information from these files. These fields must then be added to an iD CMS folder and then the file or page so that users can enter the necessary information. Once that information is entered, it becomes searchable via the iD CMS search and Enterprise Search.

Go through the process of Adding a Folder or Editing a Folder
You will be initiated with a New Folder or a Edit Folder pop up
Here you may select the Metadata option where the screen will provide you with the option to Add Field
Select the Add Field button to start adding metadata fields to this folder
An Add Field pop-up will be initiated, simply select the checkbox located on the left of the relevant metadata field you would like to add

OR

Use the Find Field to search for a field name, then select the checkbox of the field you would like to add
Select the OK button to add the metadata fields or Cancel to stop the process
The fields will be added to the folder and listed on the screen, select the OK button to save

Now any files or pages added to this folder will allow you to complete the fields to assist with categorization to increase find-ability.

Complete Fields for a FileOnce the metadata fields have been added to the folder you may now complete the fields to give more information/context for the item(s) and to increase the find-ability.

Add Files

Go through the process of Adding File(s) from steps 1 to 11.
At step 11, select the Metadata option where the screen will expand allowing you to complete and fill in each field
Complete the fields and complete the process of adding file(s)

Edit Properties of existing file

Go through the process of Edit Properties of a file
You will be initiated with the Edit Properties pop up
Select the Metadata option
Complete and fill in each field to give more information/context for item(s) and to increase find-ability
Select the OK button

Complete Fields for a PageAdd Page

Go through the process of Creating a Page following steps 1 to 5
At step 5, you will be initiated with a New Page wizard
Select the Metadata option on step 1 of the Wizard where the screen will expand to complete the fields
Complete the fields and the process of creating a page

Edit Page

Go through the process of Editing a Page from steps 1 to 4
Select Actions from the Editing Toolbar
Then select Edit Properties
You will be initiated with the Edit Properties pop up
From here you can select the Metadata option where the screen will expand to complete the fields
Complete the fields and select OK to save your changes
