Workflow: Managing workflows

Managing workflows

This process is conducted through The Admin console of iD. You will need to ensure that you are logged into the admin before conducting the process.

Workflows are created, edited and maintained in the Utilities section of The Admin of your intranet. creating and editing workflows.

The List Workflow page gives you an overview of the workflows currently available within the system, see below for steps on how to access and an explanation of its features.

1. Select Utilities from the System Admin menu, select Workflow and then Edit Workflow

2. The List Workflow will be displayed (as shown below)

List Workflow Features:

The Title is a descriptive name of the respective workflow

The Items column allows you to view the number of items that currently have the workflow applied. You can select the number to view a report on the subsite, application and item name currently using the workflow

The In Progress column allows you to view the number of items that are currently in an active workflow process. You can select the number to view a report on the subsite, applications and item name currently in the particular workflow process

The Last Modified column is the date the workflow was last modified or updated

A Valid item is denoted by a green tick   icon.
When you are creating a new item and the process is interrupted and not successfully finished, that item will continue to appear in the respective list of items in the Edit list, but will be marked invalid - meaning this item cannot be used. In these instances, simply delete the item and restart the Add Workflow process. Invalid items will have the red cross   icon displayed.

The Active column indicates whether the workflow is set to Active or Inactive.
An active workflow is represented with a green tick ; Administrators of the system are therefore able to apply or use the workflow as required. Click here for more information on applying a workflow.
When a workflow is set to Inactive, it cannot be applied to any items. An Inactive workflow will be visible in the list of workflows and is represented with a red cross  .

The Edit link allows you to make changes to the workflow. Click here for more information on Editing a Workflow.

The Delete option allows you to delete the respective workflow. (Note: once a workflow has been deleted, it cannot be retrieved)
