Managing Templates

Templates form the basis for all layouts within the site - they dictate the underlying structure and rules for what can be added and where it is located.

This process is conducted through the Front End of iD and will depend on the level of Security applied.

Updating Template Properties

Template properties provide the user with the ability to edit the template Title, Description, Active Status, the Subsites or Categories where the template can be used, as well as a preview thumbnail of what the template looks like.

Updating the Template Thumbnail

A template thumbnail should always be created and uploaded when a new template is created. This allows users who may add / edit layouts to see a preview of which template they have selected.

If a template has been updated, it will also require a new thumbnail to be updated/uploaded.

Before completing the steps below, ensure you have already created the new thumbnail and saved it to your local computer or network. The preview thumbnail should include an example layout for all display modes you have set up, i.e. desktop, tablet, phone.

Follow the process below to Upload or Update a template thumbnail.

If uploading a new thumbnail, follow the process to create a template and then once on the Properties tab, upload the thumbnail as required (see step 5)
If updating a thumbnail, select Manage Layouts from the Editing Toolbar in the applicable subsite
Select the Subsite Templates tab to view a list of all the available templates (as shown below)
From here templates you can click on the Title of applicable Subsite Template or select the check-box located on the left of the template listed. Select the template you wish to edit and select Edit from the Actions bar list to initiate the process
The template will load in Edit Mode, select the Properties tab in the Editing Toolbar
To Remove the existing thumbnail, click the Remove button
(Note: this will immediately remove the existing template thumbnail)
To Update/Upload the new thumbnail, click the Upload button
Navigate and locate on your local computer or network the thumbnail you have created, and select Open to upload it to the template properties
Once the thumbnail is updated/uploaded, select Save from the Editing Toolbar to save your changes. An Exit prompt will appear, enter in a description and then click OK

Version Control

Version Control provides the user with version information that documents changes made to the template, as well as allowing the authorized user to revert to a previous version if required.

To revert to an existing version select the Radio Button of the relevant version and select the Revert button.
To view an existing version select the View link located on the right of the relevant version.

Setting the Main Content Area

Once the structure has been established, you will notice a message in the top right corner to Mark the cells you wish to set as the Main Content Area.

It is essential to set the Main Content Area as this is the area of the layout in which an application and it's data will display; the content will then change within the set main content area when clicking into another page within the same subsite. All content and information in areas not included in the main content area will remain static.

For example, you are currently on the home page of the intranet, click on a News article. You will notice that the top, left and right cells stay fixed - the content does not change - only the information in the center cells changes. This is because the center cells have been set as the Main Content Area.

To set the main content area, select the cell and then tick the checkbox next to the following statement: "Allow cell content to change while navigating through the subsite". The highlighted cells will then show the set Main Content Area.

When setting the Main Content Area, you will need to ensure the combination of cells is rectangular in shape. The system will automatically highlight the cells to ensure the combination selected is rectangular. You will notice a message in the top right corner when additional cells have been highlighted to make up the main content area.

Deleting a Template

Authorized users are able to delete subsite templates across the intranet as required.

Note: Templates that are currently 'in use' are not able to be deleted (i.e. if there are layouts within the system based on the template).

Navigate to the subsite that contains the template you wish to delete via the Layout Manager application
Select Manage Layouts from the Editing Toolbar
Select the Subsite Template tab to view the list of available templates (as shown below)
From here templates can be selected via the check-box located on the left of the template list. Select the template(s) you wish to delete and select Delete from the Actions bar list to initiate the process
Click OK to confirm deletion and the template(s) will be deleted.

Setting a Default Template

Authorized users can nominate and set Default Templates to be used for specific subsites as required.

Navigate to the subsite for which you would like to set the default template for via the Layout Manager application
Select Manage Layouts from the Editing Toolbar
Select the Subsite Templates tab to view the list of available templates (as shown below)
From here templates can be selected via the check-box located on the left of the template listed. Select the template you wish to make default and select Make Default from the Actions bar list to initiate the process

Assigning Templates to a Subsite

Authorized users are able to copy subsite templates to be used in other subsites across your intranet.

Navigate to the subsite that contains the template you wish to copy via the Layout Manager application
Select Manage Layouts from the Editing Toolbar
Select the Subsite Templates tab to view the list of available templates (as shown below)
From here templates can be selected via the check-box located on the left of the template listed. Select the template(s) you wish to copy and select Copy from the Actions bar located above the templates list
Select the destination subsite(s) and click OK to copy the template(s) to their destination and therefore assign to the subsite(s)
