Creating & Editing Layouts

Layout Manager allows you to set up the layout structure for your site(s) via the Front End of your intranet. It provides powerful and flexible template system that is easy to use with an intuitive drag and drop interface.

This process is conducted through the Front End of iD and will depend on the level of Security applied.

Create a Layout

Navigate to the subsite for which you would like to create a new layout
If no layout exists then you will be presented with the following options:
Select Create a new layout or Manage layouts where you will be directed to a Manage Layouts page.
Go to the Editing Toolbar at the top of the screen and select Add
Select New Layout from the menu
The New Layout Wizard will be initiated

Step 1 - Details

Specify the layout details:
- Title; specify the name of your layout
- Description; include a useful description of your layout which will display in search results
- URL; this is the link to access the layout
- Publish; set the layout to appear on the intranet after a certain date/time. By default, the "Immediately" setting will be selected. Select the Scheduled Date option where you will be prompted to can set the date and time from the calendar.
- Set Expiry Date; to set an expiry date on the layout and be removed from the intranet.

Step 2 - Owner
Specify the Layout Owner(s)
To Add or Remove owners, use the Add Owner or Remove Owner buttons as shown below.

Step 3 - Templates
Here you can view any templates currently available for the layout
Click Select Template and you will be presented with a listing of available templates

A list of current templates which can be used as the base for your layout is displayed. On the left, templates are listed (categorized by subsite) showing the Name, Creator and Date of the template's creation. On the right, view more information on the selected template including a thumbnail view. To choose a template select the radio button alongside it.

Step 4 - Finish
Once Finish has been clicked, you will be directed to the layout in a Staging (working) state.

You are now viewing the new layout in Staging

Here you will be presented with several options on the Editing Toolbar including Manage Layouts, Save, Edit Layout, Actions, Components, and Help.

Manage Layouts
You can select Manage Layouts to view all layouts and subsite templates for the subsite

Actions
Layout Actions allow you to Edit Properties where you can offer options to view and edit information within Details, Owner(s), Version Control and Discussion categories. You can also Move a Layout, Delete a Layout and Revert a Layout.

Components
You can select Components to add to the layout by dragging and dropping them into place.

Once you have finished adding components to the layout, click Save and select from the drop-down:

Save a Draft & Continue
Save the layout as a draft and continue editing the layout.

Save a Draft & Exit
Save the layout as a draft and exit out of editing the layout.

Publish to Staging & Exit
Publish the layout to staging and exit out of editing the layout.

Publish to Live & Exit
Publish the layout to live and exit out of editing the layout.
Selecting the save option will present a Save prompt confirming your layout, You will be prompted to enter a description used for version control. You can also select the Apply this layout to the subsite immediately check box to make the layout active.

If you choose not to apply the layout immediately you will be directed to Manage Layouts where the list view of available layouts will be displayed as shown below:

Select the checkbox next to the layout you wish to apply and then select Make Applied to apply the new layout to the subsite

Once at the Folder, go to the Editing Toolbar at the top of the screen and select Add
Select New Page from the menu

Once at the Folder, go to the Editing Toolbar at the top of the screen and select Add
Select New Page from the menu

Edit a Layout

The first step is to navigate to the subsite for which you'd like to edit the layout
At the top of the screen, select the Edit Layout option and choose to edit in Draft, Staging or Live state.

Live - this is the layout that is currently applied to the subsite

Staging - this is a collaborative version of the layout where multiple editors can edit the staging copy. Read Only users will not be able to see this layout until it is saved to Live

Draft - this is a personal copy of the layout that only you can edit
Once the layout is in Edit Mode, the Layout Editing Toolbar options will appear, Actions, Components, Help. Edit your layout as required using the Layout Editing Toolbar to assist you - see full explanations for each option below.

Editing Toolbar

There are three Editing Toolbars used in Layout Manager; one is for layout, the other is for templates. In layout mode, the Editing Toolbar contains options for creating, editing, viewing and saving your layout which is outlined below:

Manage Layout
Allows you to Exit the layout without saving or the option to Save as a Draft, Staging or Live.
Save
Allows you to save changes to the current layout and publish it to Draft, Staging or Live states.

Allows you to activate the current layout for editing. In order to edit the layout, select Draft, Staging or Live states.

Help
The Help option provides information related to the current functionality via the Help Site located at http://help.intranetdashboard.com
Currently Editing
To the right of the Editing Toolbar is The Currently Editing (Display Mode) which allows you to switch between display modes to configure your site for the mobile devices.
The Editing Slider
To the right of the Editing Toolbar The Editing Slider allows you to Exit the layout where you will be prompted to Exit with or without saving.

Adding Components

Components are added to a page via the Component tab on the Editing Toolbar. To add a component to your layout, select the component you wish to add from the available options and drag it onto the layout.

Components are divided into several categories based on the functionality they provide. These categories include Site Framework, Application, Media, Text, External and Shared components. Click here for more information on individual components.

Saving a Layout

When saving a layout, you must select the State you wish to save in: Draft, Staging or Live. (see image below)

Layout States

There are three states:

Draft: when a layout is in Draft, it can only be viewed and edited by the person who has saved that draft
Staging: when a layout is in Staging, it can be viewed and edited by users who have the Security Level to edit that area of the site
Live: when a layout is Live, it can be viewed by users who have the Security Level to view that area of the site

When you have completed the save, your new layout will be displayed. You will need to apply it in order for it to become the layout for the applicable subsite (see below).

Applying a Layout

In order for a layout to be displayed on the front end of your intranet, you first need to apply it in the applicable subsite.

To do this, select Manage Layout from the top Editing Toolbar:

The Layout Manager application will be displayed for the applicable subsite. There are 3 tabs:

Layouts: a list of layouts that are currently available including their last modified and publish dates
Expired Layouts: a list of layouts that are currently expired due to them being assigned an expiry date
Subsite Templates: a list of templates available for this subsite

On the Layouts tab, find the layout you would like to apply and select the Applied radio button next to it. Return to the home page of the applicable subsite and your layout will have refreshed to the newly applied layout.
Note: you can have multiple layouts available in a particular subsite, but only ONE can be applied (active) at any time.
