iD CMS Files

Easily manage large collection of files. Organize files into folders by dragging and dropping to bulk upload.

This process is conducted through the Front End of iD and will depend on the level of Security applied.

iD CMS Security

Adding File(s) via the toolbar

Select Manage iD CMS Content in the Breadcrumb or via the Actions options in the footer

Alternatively,

Select the Library option located to the right of the Breadcrumb bar

NOTE: Both these options gives you direct access to the iD CMS folder structure
Navigate to the existing folder in which you wish to add a file or file(s)
Once at the Folder, go to the Editing Toolbar at the top of the screen and select Add
Select Files from the menu
An Adding Files pop-up will be initiated
To begin selecting Files for upload Click the browse button
Windows Explorer will be initiated allowing you to browse to a folder selecting Multiple Files or a single file.

NOTE:
If using IE9 with flash installed, IE10+, Chrome or Firefox then you can select multiple files
If using IE9 and don't have flash installed, you can only select one file at a time and a message is displayed indicating you can upload multiple if you install flash

Tip:

To select a consecutive group of files or folders, click the first item, press and hold down the Shift key, and select the last item.

To select non-consecutive files, press and hold down the Ctrl key, and then click each item that you want to select.
Select Open to add file(s) to the queue to be uploaded into the folder
The files selected will be listed and added to the queue.
This gives the opportunity to review and remove files you wish to not upload by selecting the X next to the relevant file.
From here you may continue to add file(s) to the queue by selecting browse.
Select the Next button and the files are prepared for upload. While a file is uploading, it's progress will be indicated by a blue bar.
NOTE: Once the Next button is selected you cannot add any additional files at this point.
Once the progress bar has completed it will indicate that X File(s) are ready for upload and the Finish button will appear.
From here you may click the Finish Button to complete the upload process.

OR

Click Cancel to stop the upload of the files.

NOTE: The Finish Button will not appear when there are conflicts or required fixes.

OR

You may set further details such as Properties for the file(s) being uploaded. Properties on the Files are categorized into; Details and Advanced.

Details:
- Description; include a useful description for the file(s). This description will display in the search results when viewed
- #Channels; enter a #Channel to categorize and post into the #Channel feed

- @Mentions; include @mentions to users to notify people of these files being uploaded.

- Publish; select Immediately to publish the files instantly or select Scheduled Date to set a future published date.
- Set Expiry Date; to set an expiry date on the files.

- Metadata; set Metadata on the files to increase findability through searching

Advanced:

Security; set security on the files
Owners; set Owner(s) on the files being uploaded

Once details have been completed click the Finish button to complete the upload process.

Bulk Uploading Files - dragging and dropping

Follow steps 1 to 2 in Adding Files
Once at the folder
Select one or more files from your computer and drag and drop into the browser where the folder resides
Follow Steps 9 to 10 in Adding File(s) to complete the upload process.

Resolving conflicts and Fix Files for upload

Before files can be published live to the site you may be required to review and fix conflicts.

If you're required to Fix Files to complete the upload process you will be notified of the status and an additional tab Fix Files will appear as shown below.

Select the Fix Files tab where you will be presented with the conflicts

The example below indicates the file(s) already exist.
Select the check boxes of the applicable file name. You will be presented with the resolution options above the files listed.
Select the resolution option

For example Replace Example
Repeat steps 2 to 3 until all files are resolved. Once all files are resolved the status bar will be updated and the Finish button will appear.
Select the Finish button to complete the upload process of the files.

Editing File(s)

Select Manage iD CMS Content in the Breadcrumb or via the Actions options in the footer

Alternatively,

Select the Library option located to the right of the Breadcrumb bar

Both these options gives you direct access to the iD CMS folder structure
Navigate to the existing folder in which you wish to edit the file
Once at the Folder, you will see the files listed. From here, the file can be selected via the check box located on the left of the file
You will be presented with a number options in the Actions Menu located above the file(s) listed.
Select the Edit option. The Edit option will only appear for the following file types: MS Word, MS Excel, and MS PowerPoint

This will launch the file in Microsoft Office
A warning message may appear, Click 'Launch Application'
Click 'Yes' to confirm that you want to open the file.
When opening the file in MS file you will be prompted to login. Use the same login as you would to login to the intranet.
Update the file as required and then Save the file in MS Word and it will auto upload back to the system
