Workflow: Deleting a workflow

Deleting a workflow

This process is conducted through The Admin console of iD. You will need to ensure that you are logged into the admin with Superuser access level before conducting this process.

1. Select Utilities from the System Admin menu, select Workflow and then Edit Workflow

2. Select the Delete option for the applicable workflow

3. Workflows can be classified as In Use or Not In Use and can be deleted at any time, however, there are some considerations which are outlined below.

Workflows NOT in use

When you delete a workflow you will be prompted with an alert; click OK to delete or click Cancel:

(Note: Once a workflow is deleted, it can no longer be retrieved)

Workflows currently in use

When you delete a workflow you will be prompted with an alert if there are any items using it, or if there are any in progress items which will be made invalid; click OK to delete, or click Cancel:

Conditions relating to the deletion of Workflows In Use:

If there is a submission in progress, it will no longer progress through the remainder of the workflow and will be set to invalid

All completed submissions (ie. in a finish step) will be unaffacted and will be submitted as normal. They can be viewed on the Front End of your intranet and their full history can be accessed

Any forms that are deleted will have their in progress (or incomplete) submissions set to invalid and the association between the form and the workflow will be removed. This includes forms that are undeleted.

4. You can also Notify owners of content prior to deleting workflows if required, as shown below.

Notifying content owners

On the List Workflow, there is a column representing items. This number can be clicked on and a list of all items using the workflow will be displayed

From this list, you can bulk email the owners of the content so that they can be notified before the workflow is deleted that they need to change the workflow that is being used

On the List Workflow there is a column representing items in progress. This number can also be clicked on and a list of all items that are currently in progress will be displayed

From this list you can bulk email the submitters to let them know to resubmit their form after the workflow deletion
