Security-based Navigation or 'How to Hide Links'

This page explains how to hide links to intranet users.

Please note:

This setting must be switched on by an Administrative Superuser of the intranet
This setting works for the Nav Editor and Quick Links applications only
This is a global setting for link-handling within these apps
Links must point in content within the Intranet. Links to external content cannot be hidden directly (see below)

The Background
Showing Links

Out-of-the-box, Intranet DASHBOARD is set to display links in the Nav Editor and Quick Links, irrespective of a user's security.

For example, when a user arrives at the Intranet, if he does NOT have access to the Coffee Break subsite, the link is still visible in the Nav Editor Horizontal Navigation, as shown below.

When that user selects the Coffee Break link, he will be taken to a page advising:
'We're sorry, but you are not authorized to access this page at this time', as shown further below.

Hiding Links

Once your intranet has been configured correctly when a user arrives at the intranet if he does NOT have security to view the Coffee Break subsite, the link is no longer visible, as shown below.

Turning on Security-based Navigation

In most intranets, Administrators will want to show particular links to certain users whilst hiding them from others. To configure this, follow the steps below:

A Superuser must go to The Admin of the system and select Administration > Utilities > Config Settings
Locate the setting Link Security Login Required
Set this to True
Now, Front End Users (Website Users) will only see the Nav Editor links and Quick Links they have the security to access, across the intranet

Setting Security to Hide Links

Once your intranet is configured to use Security-based navigation (as per the steps above), any DENY ACCESS security settings you've applied will immediately effect the Front End links visible for relevant users. If you are yet to set security, you will now need to do this.

Applying Security to an Entire Subsite

If the link you want to hide goes to a subsite, it is necessary to set the correct security on that subsite. Please note, in order to HIDE a link to a user or user group, the correct security setting is DENY ACCESS. Instructions here.

Applying Security to Application Content

If the link is going to an iD CMS Page, a Calendar or any other content within an application, it is necessary to set the correct security on that particular application. Please note, in order to HIDE a link to a user or user group, the correct security setting is DENY ACCESS.
Please identify which application the link goes to then follow the Instructions here.

A Note on Applying Security to External Links

If you are attempting to HIDE a link to external content, please note the following:

In order to hide a link, Intranet DASHBOARD must identify the logged-in user and check this person against the security settings for that content. If the link is pointing to external content, no check can be performed, accordingly,
It is NOT possible to hide links to external content using this method
The alternative is to place the external content within an iD application, for example, on an iD CMS page and place the necessary security on the page. The link to this page CAN be hidden
Please note, in order to HIDE a link to a user or user group, the correct security setting is DENY ACCESS.
