Editing an existing process

Please, login to The Admin

to complete the following steps.

Select Manage Processes from the Process Tool menu
Select the applicable folder
Click Edit for the applicable process
Edit the Details as required:
- The Name is displayed as a heading for the page
- The Description is displayed when users visit the link to the process. The description should explain what the process is about, who should use it, as well as perhaps how long the process should take to complete
- The Owner (and corresponding email) of the process is the person who by default appears on the subsite as the "line manager" of the users completing the process. Enter the owner's name in the first textbox, and email beside it
- Select Active to make the process accessible by users of the intranet; if unticked, users of the intranet will not be able to access the process until it is activated
Click Steps to update the current steps in the process:
- To Add a new step:
- Click Add Step

- Enter the Details for the step as required

- The Name is displayed as a subheading when the user is carrying out this step

- The URL is the location of the content for this step. This could be a page on the intranet or internet

- Select Active to add this step to the process; if unticked, this step will not be accessible by users of the intranet until it is activated

- Select iD CMS or Online Form if the URL entered above is a content published page. This will remove the header and footer from the published document and stop the navigation menu from displaying when users view the step

- Click OK to save and add the step
- To Edit an existing step (Note: you cannot edit or delete the steps of a process that is currently being used. To edit the process steps you need to restart the process, which will remove all statistics stored about the process. Select Restart and click the Restart button to restart the process):
- Click Edit for the applicable step

- Edit the Details (as above) as required
- To Delete an existing step:
- Click Delete for the applicable step

- To confirm delete, click OK
- To Change the Order of steps:
- Click the up and down arrows as required
Click Completion and modify the information as required:
- Select Email Process Owner to send the Process owner an email each time this process is submitted by a user. Then, select Modify Email to modify the email content that will be sent to the Process owner. The name of the process will be inserted automatically at [process], and the name of the user completing the process will be inserted at [processUser]. Select Ok to Update Process Owner Email when modifications are complete
- Select Email Process User to email the user who has completed the process once submitted. Selecet Modify Email to modify the email sent to the Process user. The name of the process will be inserted at [process], and the name of the user completing the process will be inserted at [processUser]. To upload a file (eg with further information that the user should keep), click Choose FIle, select a file and click Upload. This file will be attached to the email. Select Update User Email when modifications are complete
- The Completion Message is displayed to the users in the process window upon completion of all steps
Click Apply to save while remaining on the current page; click OK to save and return to the list of processes
