Process Tool

Adding a new process

Please, login to The Admin

to complete the following steps.

Select Manage Processes from the Process Tool menu
Select the applicable folder
Click Add Process
Optional: to copy an existing Process, select Copy an existing Process and select the Category and Process from the available drop-down options (Note: copying an existing Process will pre-populate the Add Process wizard with the details from the selected Process)
Enter the Details as required:
- The Name is displayed as a heading for the page
- The Description is displayed when users visit the link to the process; the description should explain what the process is about, who should use it, as well as perhaps how long the process should take to complete
- The Owner (and corresponding Email) of the Process is the person who by default appears on the subsite as the "line manager" of the people completing the process. Enter the owner's name in the first textbox, and email beside it
- Select Active if you would like users of the intranet to be able to access this process now; if unticked, users of the intranet will not be able to access the process until you make it active
Click Next to continue
Click Add Step
Enter the Details of the step:
- The Name is displayed as a subheading when the user is carrying out this step
- The URL is the location of the content for this step (eg this could be a page on the intranet or internet)
- Select Active to make this step active in the Process; if unticked, this step will not be accessible by users of the intranet until made active
- Select Content Published Page if the URL entered above is a content published page; this will remove the header and footer from the published document and stop the navigation menu from displaying when users view this step of the process
Click Add Step to save and add the step
Repeat steps 7-9 to add additional steps to the process
When all steps have been added, review the steps and ensure they are in the correct order. The process will follow the steps in order from top to bottom in the list displayed; use the up and down arrows to modify the order
Click Next to continue
Enter the Completion details of the process as required:
- Select Email Process Owner to send the Process owner an email every time the process is completed. Once ticked, a button will be displayed. Click Modify Email to modify the email content that will be sent to the Process owner. Where it says [process], the name of the process will be inserted, and the name of the user completing the process will be inserted where [processUser] is written. Select Update User Email when modifications are complete
- Select Email Process User to enable the user completing the process to be emailed once they have completed the process. Once ticked, a button will be displayed. Click Modify Email to modify the email that will be sent to the Process user. Where it says [process], the name of the process will be inserted, and the name of the user completing the process will be inserted where [processUser] is written. To upload a file (eg with further information that the user should keep), click Browse, select a file and click Upload. This file will be attached to the email. Select Update User Email when modifications are complete
- The Completion Message is displayed to the users in the process window upon completion of all steps
Click Next to continue
Review the details, click Back to make changes
Click Finish to save
