Notifications

Users can be automatically notified via email and/or RSS of any additions or improvements to your intranet, reinforcing it as a timely and relevant resource.

Functionality:

Automatically update users when content is added/updated
Target notifications to a specific user group, team or business division
Option to distribute in RSS Feed or email format

Add Notification

Navigate to the content within the iD intranet that you wish to receive notifications for
You can Add a Notification 2 ways:
From the Footer: Scroll to the bottom of the page until the Footer is visible

In the Notifications section of the Footer, click Add Notification
From the user details breadcrumb (when active): click the arrow to expand the drop-down, select Add Notification
You will now be notified when the content on this page is modified; to view, edit or delete your personalized notifications, click the Manage My Notifications link

Note: if you are already subscribed to Notifications for this content, the 'Add Notification' link will be replaced with a 'Remove Notification' link instead.

Remove Notification

Navigate to the content within the iD intranet that you wish to stop receiving notifications for
You can Remove a notification 2 ways:
From the Footer: Scroll to the bottom of the page until the Footer is visible

In the Notifications section of the Footer, click Remove Notification
From the user details breadcrumb (when active): click the arrow to expand the drop-down, select Remove Notification
You will now no longer be notified when the content on this page is modified; to view, edit or delete your personalized modifications, click the Manage My Notifications link
Note: if you are not already subscribed to Notifications for this content, the 'Remove Notification' link will be replaced with an 'Add Notification' link instead.

Assign Notifications

Notifications allow users to subscribe to be assigned to content and be notified of changes to that content via email and/or RSS feed. Users may also be assigned to receive notifications about changes to selected content.

Please note: only users with Full Control security rights are able to assign other users to receive notifications. Users without sufficient security permissions will not see the 'Assign Notifications' link or tab.

Users are assigned to receive notifications about content updates using the Assign Notifications wizard. The wizard can be opened in one of three ways:

METHOD 1: From the Footer: Navigate to the content within the iD intranet that you wish to assign notifications for

Scroll to the bottom of the page until the Footer is visible

In the Notifications section of the footer, click Assign Notifications to display the Assign Notifications wizard
METHOD 2: From the user details breadcrumb (when active): click the arrow to expand the drop-down, select Assign Notifications
From the Manage My Notifications page: If already on the Manage My Notifications page, select the Assign Notifications tab

Click Assign Notifications to display the Assign Notifications wizard

Once the Assign Notifications wizard is displayed using one of the above methods, proceed as follows:

Select item: Select the content that you wish to assign notifications for by expanding the content tree and checking the appropriate boxes. More than one item may be selected if required. Click Next to continue.

Note: if you used Method 1 to open the wizard, the current content will be already selected for you and you will be automatically taken to step 2 in the wizard)
Select users: Click Add User, then select from the Type drop-down list whether you wish to add User Groups or individual users.

If you choose to add Groups all users in the selected Group(s) will receive notifications for the selected items.

Please note the following when adding Groups:

- when selecting a User Group from Active Directory, the email notification will be sent to the email address associated with that group (e.g. groupname@company.com) rather than every individual user in the group

- when selecting a Website User Group from Intranet DASHBOARD, the email notifications will be sent to each user in the group individually.

Enter search terms in the relevant fields to find the users or groups you wish to add (using * as a wildcard) and select whether you wish to search in the iD database or Active Directory (if applicable). Once you have entered your search terms, click Search to find any matching users or groups.

In the Search Results, select the users or groups you wish to add using the check boxes and click OK to add them. If necessary, multiple searches may be performed to select additional users or groups.

Selected users and groups may be removed at any time by selecting them in the main User list and clicking the Remove User/s button.

When you have finished selecting users and/or groups, click Next to continue. Note that you must select at least one user or group to proceed.
Options: Select whether or not you wish to enable to following options for these notifications:

Send Email Notifications - turns on email notifications (in addition to the default RSS notifications) for the selected items
Add to Activity Feed - turns on activity feed notifications (in addition to the default RSS notifications) for the selected items
Allow Unsubscribe - allows users to opt out of receiving notifications for the selected items

Note: the unsubscribe option is only applicable to individual user notifications. Members of user groups cannot unsubscribe.
Finish: Confirm that the entered details are correct and click Finish to assign the notifications to the selected users. If any details require modification you can use the Previous button to return to earlier steps to make changes.

Manage Notifications

The Notifications page can be accessed from anywhere on the intranet in 2 ways:
From the Footer: Scroll to the bottom of any iD content page until the page Footer is visible

In the Notifications section of the footer, click Manage My Notifications
From the user details breadcrumb (when active): click the arrow to expand the drop-down, select Add Notification
The Notifications page will be displayed with 2 tabs: My Notifications and Assign Notifications

The Manage My Notifications tab contains a link to an RSS feed of the notifications the user has subscribed to, as well as a list of all iD content that the current user has been assigned to receive notifications for. If the current user has sufficient security permissions, the Assign Notifications tab will also be available.

The Assign Notifications tab displays a list of all notifications assigned to other users, including those assigned by the current user. The Assign Notification button on this tab may be used to assign additional users to receive notifications.
On both the above tabs, the displayed data can be re-ordered by clicking on the column titles.
Email notifications can be enabled or disabled for each item using the check box in the Email Notification column.

Note: changes to the Email Notification status of an item are applied immediately when the checkbox is updated.
Notifications may also be cancelled for any item by click Delete for that item.
