Setting an Owner/s for My iD Profiles

My iD is a 'global' app; this means that the same content can be maintained from any subsite. Setting an owner (or owners) for My iD means:

Owner name(s) will appear in the footer of every profile, users can then contact the owner with questions about this content

People with a security status of 'Creator' or 'Contributor' will be required to contact the Owner(s) to approve his/her content changes to Master Profiles
Note: Ownership does not automatically denote 'Full Control' security, which must still be set for the Owner/s. See the My iD security page for more information

Step 1 - Access My iD

Via the Clever Tools 'My iD' link

Via the User Profile in the layout

Via some other dedicated link that has been created for you (e.g. Quick Link)

You can access it anytime via the URL structure: http://yourintranet/subsitename/myid
(Where 'your intranet' and 'subsite name' are replaced with your actual intranet details)

Step 2 - Owner Properties

Once you are at My iD, notice the Editing Toolbar / Editing Ribbon, there will be the option Manage Master Profiles:
Note: If you do not have the correct Front End Security to work on this application, you will not see the Editing Toolbar.

Select Manage Master Profiles

The Editing Toolbar options will change, now select Properties

Step 3 - Add the new Owners

The General tab now displays Folder Owner(s), select Add User/s

Search by Last Name, First Name and or Email. Using the asterisk, * as a wildcard on any field. Search from Active Directory or User Database depending on whether user names as stored in Active Directory or directly within the intranet.

From the results, use the checkbox next to a user name to select him/her, click OK

All selected users will be added to the Folder Owner(s) list. You can Remove User/s here, by selecting the checkbox next to a user name and pressing Remove User/s

Step 4 - Save your changes by selecting the disk icon

To confirm your changes, go to any Profile in the system, and scroll to the footer. Here you will see the owner(s):

Deleting a Master Profile

The Master Profile that is marked as 'Applied' in the system will provide the structure for all Profiles. Only one Master Profile can be applied at any one time. Other Master Profiles can remain in the system and be edited or Applied later.

In this example, notice there are three Master Profiles, the 'Social Master Profile' is currently Applied. Meaning all Profiles in the system adhere to the content and structure of this Master Profile. Accordingly, if you intend to Delete a template, identify and assign a template to be applied.

Step 1 - Access My iD

Via the Clever Tools 'My iD' link

Via the User Profile in the layout

Via some other dedicated link that has been created for you (e.g. Quick Link)

You can access it anytime via the URL structure: http://yourintranet/subsitename/myid
(Where 'your intranet' and 'subsite name' are replaced with your actual intranet details)

Step 2 - Manage Master Profiles to access further options

Step 3 - Access Master Profiles list

In the center of the screen, the listing of Master Profiles will appear on the Master Profiles tab.

If you are deleting the current Applied Master Profile, select another Master Profile to replace it now, by selecting the round, 'radio' button.

Step 4- Select & Delete the Master Profile

Select the check box next to the Master Profile you are deleting

From the Actions: drop down box, select Delete

The Master Profile list will be updated. Note: If you have deleted the Applied Master Profile without assigning an alternative, this will be indicated as 'There is no Master Profile currently applied':

Until a Master Profile has been applied, no Profiles will display in the system. Instead, the following message will be displayed:

In this case, return to Manage Master Profiles and select the Master Profile to be Applied.

Undelete a Master Profile

If a Master Profile has been deleted inadvertently, it can be undeleted as follows.

Step 1 - Access My iD

Via the Clever Tools 'My iD' link

Via the User Profile in the layout

Via some other dedicated link that has been created for you (e.g. Quick Link)

You can access it anytime via the URL structure: http://yourintranet/subsitename/myid
(Where 'your intranet' and 'subsite name' are replaced with your actual intranet details)

Step 2 - Manage Master Profiles to access further options

Once you are at My iD, notice the Editing Toolbar / Editing Ribbon, there will be the option Manage Master Profiles:
Note: If you do not have the correct Front End Security to work on this application, you will not see the Editing Toolbar.

Step 3 - Access the Recycle Bin

From the Editing Toolbar, select Properties then Recycle Bin

Then select the check box next to the Master Profile to be undeleted. From the Actions: drop down, select Undelete

A confirmation message will appear, select OK

The Recycle Bin will indicate undelete success

The undeleted item will appear on the refreshed Master Profiles tab

Reverting to a Previous Version

If you have made a change to your Master Profile that now needs to be changed back, or, you would like to review previous versions, follow the steps below.

Step 1 - Access My iD

Via the Clever Tools 'My iD' link

Via the User Profile in the layout

Via some other dedicated link that has been created for you (e.g. Quick Link)

You can access it anytime via the URL structure: http://yourintranet/subsitename/myid
(Where 'your intranet' and 'subsite name' are replaced with your actual intranet details)

Step 2 - Manage Master Profiles to access further options

Step 3 - Select & Edit the Master Profile to be Reverted

Find the Master Profile you intend to revert - Select Edit

The Master Profile will open. From the Editing Toolbar, select Properties

Select the tab, Version Control

At the Version Control tab, you can identify

The Current Version Number, who the Master Profile was Created By and the Date Created
All previous versions and the associated details of each version.
Note: Here you can View any version to confirm your choice before proceeding with Revert

Select the round button next to the version you wish to revert to:

Then confirm the change and press Revert button:

The Master Profile will refresh. You will identify the version has updated:

To save the change, from the Editing Toolbar, select the disc icon

To save this change immediately across the site, select Publish to Live & Exit. For other options, see explanations below.

Save a Draft & Continue
Save the Master Profile as a draft and continue editing
Use this option if you are continuing to work on the Master Profile
Save a Draft & Exit
Save the Master Profile as a draft and exit
Use this option if you have made a change, but do not want it to go 'Live' yet. No one but you can access this draft.
Publish to Staging & Exit
Publish the Master Profile to staging and exit
Use this option if you do not want the Master Profile to go 'Live' yet, but wish to share the version with other Editors.
Publish to Live & Exit
Publish the Master Profile to live and exit

Finally, enter a description to be stored in this version.
