My iD - Edit Your Profile and Activity Feed

Your Profile page comprises; an Activity Feed for posting your latest stories as well as a Profile with details about you as an employee

This process is conducted through the Front End of iD and will depend on the level of Security applied.

What do I need to know about my Profile?

Is an editable page that you can maintain, it contains required information about you, as determined by the organization you work for
Can be viewed by other intranet users
Details are searchable across the intranet and you can search other users by the same criteria, e.g. search for people in California office with accounting skills
Comprises an Activity Feed, where you can post messages, images, files, and videos. Other people who are Following you can view these posts
Following another person means his/her posts will also appear on your Activity Feed

Viewing your Profile and Activity Feed

To access your profile, from the Home page of the intranet select your name in the breadcrumb bar, then select View Profile - an example is shown below:

Your Profile page will load, see example below. The layout of your Profile will depend on your organization's Profile set-up.

The Profile comprises:

1) The Profile Header

2) The Profile Body

3) The People You Follow and The People Following You

4) The Activity Feed

Edit Your Profile

To edit your Profile take the following steps:

1) Access your Profile

From the Home page of the intranet select your name in the breadcrumb bar, then select View Profile from the drop down menu

Your Profile page will load. Take note of the Editing Toolbar at the top of the screen.

From the Editing Toolbar, select Edit Profile

Note the Editing Toolbar appearance has changed. Once you've made changes, come back to the Editing Toolbar to Save Profile

Completing your Profile

Now that your Profile is in 'editing mode', note there are a series of fields to be completed and some fields that are already completed (e.g. email address and name). Let's go through the different types of fields you'll encounter on your Profile.

Required Fields

Will be marked in red. You must enter information in this field in order to save it.

Once you have entered the information into a required field, the marker will become gray, then the profile can be saved.

Updating your Profile Image

Select Edit

A pop-up will appear. Click Select Image. Browse your PC to locate the image.

The image will upload in its original size. Use your mouse to shrink/expand/drag the image as desired. Select OK to save changes or Cancel to start again.

Selecting from a List

Certain fields, such as Department, Manager, and Expertise require you to select an item/s from a list. You may also be able to add new items to a list.

Click into the field, and the list of available options will appear in the drop down. Select from these or write an option, e.g Communications. If there is no option in the list with the title 'Communications', it will indicate No Results Found, then select Add.

To remove an item, select the 'X' next to the item

Note: Depending on the set-up of the field, you may need to enter just one item, or you may be able to add multiple items, as shown below.

Entering multiple items to a List

Filling out a list with multiple items, there will be a maximum limit indicated at the bottom, e.g. 'You can still add 15 items'

Click into the field, and the list of available options will appear in a drop down. Select an item or start typing to display matching list items. For each item, select Add and repeat this process.

Adding Free Text

The free text will be entered into a text box field. Type or Copy/Paste the text here. This will be saved when you save your Profile.

Saving your Profile

Once you've completed your Profile go to the Editing Toolbar at the top of the page and select Save Profile on the left.

If you do not want to save your changes, go to the Editing Toolbar at the top of the page and select Exit on the right. A pop-up will confirm Exit Without Saving, select OK or Cancel

may already have some information on it, depending on how your organization stores information, e.g. your Name and email address may be entered already.

How to Use your Activity Feed

To access your Activity Feed, from your Profile select Activity Feed tab. (If you are not sure how to get to your Profile, please see topics above.)

How Posts Work

On your Profile, you will see posts from any users you are Following and any text anywhere in the System where someone has '@Mentioned' you. In turn, any people Following you will see your posts on their Activity Feed as well as any text where you have '@Mentioned' them.

In this next example, you can see 'Intranet Administrator' is following Alice Richardson, so when Alice updated her profile, Intranet Administrator can see this.

The Intranet Administrator may or may not be following Maree Eldridge. However, when Maree @Mentions Intranet Administrator, the content is displayed on his Activity Feed.

Commenting, Liking, Sharing

You can Comment and/or Like posts.

Below any post, press Comment then types what you would like to say into the comment box. Style text as Bold, Italics or Underline, and press Reply

Below any post, press Like. Once pressed, the number of likes will display, like so:

Other people's posts can be shared with her/his Activity Feed, to yours. Below the post, select Share. Then confirm OK to proceed. The entire post will be shared.

Writing your own Posts - Messages, Images, Files, Videos

Use your Activity Feed to update your Followers on projects, news, team communications, marketing videos and more.

You can post a Message, upload an Image (& add a caption), upload a File (& add a caption) or share a Video (& add a caption).

How to Post a Message

At your Activity Feed, click on the text Post something...

Start writing your text. Here you can:

Style the text Bold, Italic or Underline

Undo or Redo

Do a Spell check

Create a link to news articles, documents

The most important of these four options is INSERT A LINK This helps you create links to your intranet updates, pages, news articles and the documents you've been working on Here's how:

How to Insert a Link into a Post

1. Write your text 2. Highlight the text that should be the link 3. Press the insert a link icon

In the below example, we have highlighted the text 'look here', this will become the link to our news article

4. After pressing Insert Link the below screen will pop-up. There are 2 tabs, here you can add a URL (if you already know the link), or you can search through the intranet Content in a folder structure sorted by Application (e.g. News, Document Manager, Online Forms).

We are creating a link to a News Article, so we selected News.

Then we select the correct News Category, then the article.

The link is now inserted over the text.

OR, if you know the URL... Select the URL tab. Enter the URL, a tooltip (this will appear when the person reading it hovers over the link) and set how the link should open: Current window or New window (we recommend Current window for intranet content and New window for external sites).

To display the message, press Post

The message will now be on your Activity Feed and on the feeds of the people following you.

Mentioning Colleagues

Mentioning a person/people will place an alert/notification in his/her Activity Feed and into the Activity Feed of people following that person.

To mention someone anywhere in the system, start typing the 'at' symbol, followed by at least the first 3 letters of the person's first name, e.g. '@amy'

Step 1 - type the '@' symbol followed by at least 3 letters of the person's first name

Step 2 - Names matching the entered letters will appear in a drop down.

Step 3 - Select the correct name

Step 4 - The Mention will now appear in the Formatted Text Component.

Step 5 - This will appear in the user's Activity Feed once you save this process.

How to Upload an Image

At your Activity Feed, press the IMAGE tab

Select Edit

The Edit Image will pop up. Click Select Image

Choose the image from the directory

Crop the image if necessary. Small images will be presented true to size.

Large images will be reduced before any editing, this will be indicated as:

Once you are happy with the final image, select OK

Enter a caption in the text area, then press Post

The image will now be on your Activity Feed and on the feeds of the people following you.

How to Upload a File

At your Activity Feed press the FILE tab

Select Upload

Choose the file from the directory

The uploaded file with the original file name will display. You can upload ONE file per post.

Enter a caption in the text area, then press Post

The file will now be available for download on your Activity Feed and on the feeds of the people following you.

How to Share a Video

At your Activity Feed press VIDEO tab

Take the Share/Embed code from the website where the original video is presented, example below:

Paste the Share/Embed code into Embed Video Code

Enter a caption to appear alongside your video then press Post

The video will now be available to watch on your Activity Feed and on the feeds of the people following you.

Editing and Deleting Posts

Against each post, you will note the Actions button.

Here you can edit any post you have written. Or delete any post you have written

To edit any post, press Actions, then Edit

The post will appear on a new page.

Amend the post as required and press Save

The post will save and remain on the current page. Press View Profile to return to your Profile.

Note: The post will appear in the original date/time location of your Activity Feed.

To delete any post, press Actions, then Delete

A deletion confirmation message will appear. Select OK to delete or Cancel to keep the post.

The post will be removed from your Activity Feed and the feeds of the people following you.
